What does archiving a staff member mean?

Once a member of staff leaves your organisation, you can archive their Personnel Record.

This will;

  • Stop them receiving email/SMS updates from RotaMaster
  • Remove them from consideration by the Allocation Wizard
  • Stop them showing in reports
  • Remove them from your RotaMaster Workforce Level
  • Decline outstanding leave requests
  • Complete any open sickness records

However, all of their details will remain in the system. If they return to your organisation you can unarchive the record.

Archiving a staff member

To archive a person, go to Personnel > Personnel Manager;

Find the Personnel Record, either by searching or by using the Rota Group Breakdown.

Click on the Personnel Record and click the Archive button, as shown below;

If the staff member you are archiving has any uncompleted sickness, you will be made aware:

 

This will show the following prompt;

Click Yes.

This will archive this person.

There is a default setting which allows the system to automatically archive a staff member on their leaving date. If this setting is enabled, this will be enabled for everyone. The setting can be found in Configuration > Default Settings > Personnel 'Automatically archive staff on leaving date':

Unarchiving a staff member

You can view archived staff within personnel manager. There will be a heading named 'Archive' below all of the rota groups. Alternatively, you can select the 'Show Archived' tick box below the list of Rota Groups. The archived staff will be highlighted in red. Click on the name of the staff member you wish to unarchive and click the Unarchive Person button - all shown below;

This person will now be restored to their previous Rota Group and Team.
