How to use basic, advanced & column filters in View Rota & Rota Weekly Viewer
When opening View Rota & Rota Weekly Viewer, you will automatically be taken to your default rota.

Basic Filters
These allow you to choose one option from each of the available fields to narrow down the information you see in your rota.

State |
Queried Shifts: Shifts where staff have submitted a query. Shifts with OK set: Shifts with the OK mark added. Shifts without OK set: Shifts without the OK mark added. Shifts with Registration Warnings: Shifts with compliance & registration warnings for the confirmed member of staff. Shifts with Shift Adjustments: Shifts with added shift adjustments. Unapproved Values: Shifts with changed, unapproved values. Unblocked Shifts: Shifts that are not blocked. Unconfirmed Shifts: Shifts with no confirmed person. |
Status |
The status of a shift controls where that shift is visible for staff. Click here for more information on how to use & configure these. |
Session Code | When building your shift pattern in Shift Pattern Manager, RotaMaster will assign each shift a code in the code column. Then, once you have created your rota in Manage Calendar, all shifts using that same shift in the template (Shift Pattern Manager) will have the same code. |
To set a filter press the arrow to the right of your desired field and select an option from the drop down menu.
You can set several filters at the same time, but you will only be able to select one option from each drop down menu in the Basic Filters tab.
To remove a filter simply press the X next to the dropdown arrow and the filter will be removed.

Show Weekdays Only | Will hide Saturday & Sunday in the rota. |
Show Leave/Sickness records | Will show an additional screen below the rota, of staff off due to leave or sickness. |
Show Weekends Only | Will hide Monday to Friday in the rota. |
Provisional Name | Will show the Provisional column in the rota. |
Priority | Will show the Priority column in the rota. |
Day | Will show the Day column in the rota. |
Allocated Team | Will show the Team column in the rota. |
Registrar | Will show the Registrar column in the rota. |

Exclude People with no Relevant Shifts | Will hide any members of staff without matching skills for the available shifts. |
Show Rota Dependents | Will show any dependencies in each shift. |
Show Secondary Rota Group | Will show an additional group at the bottom of the weekly rota, displaying members of staff who also have access to work in the Rota Group you have selected. |
Show Skills | Will show skills assigned to shifts when hovering over the shift. |
Show Contracted Hours | Will show the member of staff's contracted hours below their name. |
Show Mobile Number | Will show the mobile number of the member of staff when hovering over the shift. |

Advanced Filters
To select multiple options per field, select Advanced Filters and click Edit Advanced Filters.
This will open the Rota Filters screen, where you can choose your desired filters for each field.
Filter Types | Here you can choose what information about your shifts you want to filter by. |
Filter Summary | This will show what filters you have currently selected. |
Filter Data |
If you have a large number of choices, you can use the search box and find button to find the option you're looking for. Alternatively, you can simply tick the box in the selection column to choose that filter. |
Clear Selection | Use this button to remove all filters you've previously selected. |
✅ Once you have chosen all of your filters, simply press the X in the top right corner to go back to your rota.

Column Filters
You are also able to hover over any of the columns in View Rota, select the filter icon and choose the information you want to see.
Selecting the filter icon will show a drop-down menu, for you to select the tick box for your desired fields and click OK.
Once you have added filters to any of the columns, below your shifts at the bottom of the screen will show what filters are currently applied.
To remove all filters, simply click the X...
