What's the difference?
The first set of instructions will talk you through how to log in to RotaMaster as an administrator if you do not have an existing RotaMaster Account.
The second set of instructions will advise you on how to link your account(s) to your email address by using the invitation code provided from the additional organisation(s) you have an exisiting administrator account for. This will allow you to use the same credentials for multiple RotaMaster administrator accounts.
1. Logging in for the first time with no existing accounts
Once you have received your invitation email navigate to online.rotamasterapp.co.uk and enter your organisation's username and password and click "Log on"
✋If you don't know your organisation's username and password please contact a system administrator
You will then be directed to a second login screen asking for a username and password. Click "Received an invite?"
Here you will be asked for an invitation code. This can be found in the invitation email:
Once you have entered a valid code, it will recognise your email address and this will be pre-populate and you will be asked to enter, and reconfirm a password.
Click 'submit', you will then received a user complete notification message. Click 'OK', and this will redirect you to the RotaMaster log in screen
After this you will be redirected back to the second RotaMaster login screen, where you must enter your username (email address) and password to log in and access your administrator account.
You will then be asked to verify your email address. Please note, the verification email can take a few minutes to arrive.
Once you have verified your email address by clicking the link in the email you will received a successfully verified message in a new browser page:
Then navigate back to you web browser where you have RotaMaster open, and click continue.
You will then be successfully logged in as an administrator.
✋If your organisation has multi-factor authentication (MFA) enabled you will be prompted to set up an MFA device at this stage. Find out more about multi-factor authentication
2. Logging in for the first time with existing account(s)
Once you have received your invitation email navigate to online.rotamasterapp.co.uk and enter your organisation's username and password and click "Log on"
✋If you don't know your organisation's username and password please contact a system administrator
You will then be directed to a second login screen asking for a username and password. Click "Received an invite?"
Here you will be asked for an invitation code. This can be found in the invitation email:
Once you have entered a valid code, it will recognise your email address is linked to an existing RotaMaster account. You will then be asked to enter your existing password to link your email address, which will then allow you to use the same username and password across all of your RotaMaster administrator accounts.
Once you have entered your existing password, click 'Submit'.
You will then receive a user complete notification message. Click 'OK', and this will redirect you to the RotaMaster log in screen
After this you will be redirected back to the second RotaMaster login screen, where you must enter your username (email address) and password to log in and access your administrator account.

If you do not wish to link your account to the same email address you can enter a different email address on the 'accept invite' screen:
You will be asked to put in a new email address. All requests to change the email address must be approved by an administrator.
Once you administrator has approved the change of email address you will receive a new invitation email to your preferred email address. You will then need to follow the steps above to complete your registration.
💡If the preferred email address you have requested to use is not linked to any other RotaMaster Account, follow section 1 of this guide to complete your registration.
If the preferred email address you have requested to use is please follow section 2.
If your administrator does not approve the requested change of email address, they will contact you directly to discuss your account registration.
