What is the Person View

The Person View will display any shifts, annual leave, sickness and days up to four weeks at a time. 

Any instances of sickness will show as a red bar spanning the relevant days with annual leave showing in yellow. 

The shifts will, by default, be colour coded based on Role with the role name showing on the shift card. This can be changed to Shift Group by clicking Display shift by Shift Group in the top icon bar

💡The colours of your Roles and Shift Groups can be changed at any time by editing the relevant information in Rota>Rota Settings

On the left hand side of the screen you will have the option to filter your results using the drop down boxes

You can also choose to display shifts based on the below options

Allocation Status - This allows you to choose between all shifts, unallocated shifts and allocated shifts

Exclude people with no relevant shifts - If a staff member isn't working any shifts in the selected week they will not show as an option on the left side of the screen

Show Rota Dependents - Dependents will be shown as an additional black box under your shift card, hovering over the dependent will show the details

Show Secondary Rota Group - Ticking this will include people who have secondary access to the Rota Group you have filtered to.  

Show Skills - Skills will be shown in the dialogue box generated when hovering your mouse over a shift

Show Contracted Hours - Contracted vs Hours Worked will be displayed for each staff member under their name

Show Mobile Number - Mobile numbers will be shown in the dialogue box  generated when hovering your mouse over a shift

Hide Weekends - Weekends will be hidden from the views. 

Adding, Editing and Deleting Shifts

Adding

Shifts can be added at any time by either double clicking the Add Shift button in the icon bar at the top of the screen or by double clicking in the empty space where you want the shift to go. Fill in the relevant details in the Add Shift box and click Save.

✋When creating a shift this way make sure you click on the Shift Defaults tab to fill in the mandatory information

Editing

As with the View Rota Screen shifts can be edited by double clicking on the shift and changing the relevant information. 

Multiple shifts can be edited at once by pressing and holding Ctrl on your keyboard, clicking the shifts you want to change and then clicking Quick Edit

The confirmed person on a shift can also be edited by dragging and dropping the shift from it's original position to the desired person line

 

✋Please be aware, you cannot change the day of the shift, only the Confirmed Person.

Deleting

To delete a shift from the Rota Weekly Viewer select the shift you would like to delete and click Delete. You will be asked to enter your password before the shift can be fully deleted.

Single Week View

When you open the Rota Weekly Viewer it will default to a single week view.

Personnel names are displayed down the left side with the days of the week running along the top, shifts, days off, annual leave and sickness will all be displayed within the person row. Unconfirmed shifts will show along the top

Hovering over a shift will show a dialogue box with additional information

Clicking the arrow next to the week dates will allow you to view the previous or next week within the main date filters of the page 

Single Day View

Clicking Zoom In will change the view to a single day view allowing you to better see what shifts you have spanning specific hours of the day

This will show the times of the day down the sides of the screen with shifts spanning the same number of hours as their duration.

Multi Week View 

Clicking Zoom Out from the default single week view will expand the view to show you two weeks worth of shifts at once

Clicking it again will show three weeks

And a fourth time will show you four weeks

In each of these views additional shifts on the day can be viewed by clicking the grey bar indicating how many more shifts there are

This will show a list of shifts grouped by Team

Shifts can still be edited from this view by double clicking on the shift.
