This guide will talk you through the Quick Edit functionality available on the View Rota screen
The Quick Edit functionality in the different Rota 'views' allows users to quickly change various aspects of multiple shifts at once.
There are currently four parts to Quick Edit;
- Quick Add - adding a Confirmed Person/Provisional Person to multiple shifts at once.
- Quick Edit - making various changes to multiple shifts at once, including start and end times/Duty Stations, posts etc.
- Quick Remove - removing the Confirmed/Provisional Person, Session Fee, Team, Priority, Room, Comments, Registrar Rank, Seat and Skill from multiple shifts at once.
- Quick Replace - replacing the Confirmed/Provisional Person in multiple shifts with another Confirmed/Provisional Person.
To use any of these functions, open the View Rota/Rota Manager window and use the filters on the left hand side to bring up the relevant data;
Select the shifts to be edited/added to etc. by either;
- Clicking the first shift, holding SHIFT and clicking the last shift - this will select all shifts in between.
- Click a shift, hold CTRL and click through the other shifts.
- Hold CTRL+A to select all in view.
EXAMPLES
Quick Add;
- Select the appropriate shifts.
- Click the Quick Edit button to see the options and click Quick Add.
This will open the following window;
Use the dropdowns to select the Confirmed/Provisional Person to be added to the selected shifts. You can also update the status of this shift at this point.
Adding a staff member using quick add will also automatically populate the default team onto the shift.
NB - Only one field must be filled out of the three - none are mandatory.
Click Confirm.
The selected person will now be added to the shifts.
Quick Edit;
- Select the appropriate shifts.
- Click the Quick Edit button to see the options and click Quick Edit.
This will show the following window;
Populate the fields - again only ONE field needs to be populated for the form to be submitted. I.e. If only the Start Time of the selected shifts needs to be changed, just enter the Shift Start and click Confirm.
Click Confirm.
The settings outlined in the 'Quick Edit Shift' box will be applied to the selected shifts.
Quick Remove;
- Select the appropriate shifts
- Click the Quick Edit button to see the options and click Quick Remove.
The following window will be shown;
Tick to Remove Confirmed Person and/or Remove Provisional Person. You can also update the status of this shift at this point.
You can also remove, Session Fee, Team, Priority, Room, Comments, Registrar Rank, Seat and Skill by selecting from the drop downs.
Once you have selected all the information you wish to remove from the shift, click Confirm.
❗Please be aware the system will not ask you if you want to record an adjustment after quick removing staff.
Quick Replace;
- Select the appropriate shifts.
- Click the Quick Edit button to see the options and click Quick Replace.
The following window will be displayed;
The Confirmed Person and Provisional Person slots in this section show who will REPLACE the current person in the select shifts. You can also update the status of this shift at this point.
Click Confirm.
