          Personal SSP Allowance

          SSP Allowances are managed per post. 

          Transferring allowances between posts

          Should a member of staff be assigned a new post, such as a promotion from Administrator to Senior Administrator and the SSP Allowances should transfer, you can do this by assigning the individual their new post, ending their current one and using the 
          Post End Wizard.

          💡 Should the member of staff then have an episode of sickness in their new post, allowance calculations will continue to look back over the previous 56 days.

          Viewing Remaining SSP Allowances

          1. Go to Personnel > Personnel Manager
          2. Find and edit the individual's personnel record
          3. Go to Posts > select their post > Sick Leave > Statutory Sick Pay

          Qualifying Days

          Qualifying days are the number of days a person is typically expected to be working per week.

          The default number of qualifying days is 7.

          Manually adding or changing qualifying days

          You have the option to add, edit and delete qualifying days with the appropriate start & end dates. To add a new number of qualifying days...

          1. Click the green plus button in the Qualifying days window
             
          2. Enter the number of daysstart date and if required, end date and press save
             

          To edit an existing number of qualifying days...

          1. Click the blue pencil button in the Qualifying days window
             
          2. Update the number of daysstart date and if required, end date and press save
             

          To delete an existing number of qualifying days...

          1. Click the red cross button in the Qualifying days window
             
          2. You will be asked to confirm if you want to continue, as deleting the record will recalculate any unlocked sickness adjustments.
             
          3. Once you press Yes, the Qualifying days will be removed and the previous record made active.

          🧮 Creating, amending or deleting the number of qualifying days will recalculate the allowance when you press Save or Save & Exit in the bottom right corner of the personnel record.

          Use previous 2 pay periods for SSP Average Weekly Earnings calculation

          By default, RotaMaster will use the standard eight week period when calculating if 80% of average weekly earnings is below the current weekly rate.

          If your organisation calculates this based on two pay periods, you can apply this setting in the individual's personnel record.

          1. Go to Personnel > Personnel Manager
          2. Find and edit a personnel record
          3. Go to Posts > select their post > Statutory Sick Pay
             

          The pay period end can be configured per person or for the organisation.

          ⚠️ Pay Period End is also used to calculate leave accrual for zero hour contracts

          Changes will alter how both accrued leave & average weekly earnings for SSP are calculated.

          To change this for all personnel records...

          1. Go to Configuration > Default Settings > Defaults and look for Pay Period End
             
             
            If your pay period end is set to 12, this will mean that your pay period is the 13th to 12th every month
          2. Amend the pay period end accordingly and press save

          Calculation: Leave Units in Days

          If someone's leave units are in days, the SSP allowance will also be calculated in days.

          The calculation is...

          Qualifying Days x 28 weeks = Remaining Allowance 

          4 x 28 = 112 days

          Daily Working Hours

          If someone's leave units are in days, you have the option to use Daily Working Hours to define the Qualifying days. 

          Daily Working Hours for contract changes

          If you select Use Daily Working Hours for Qualifying Days and the member of staff has had a variety of contract changes, these will automatically be reflected in the Qualifying days and allowance calculation.

          In this example, Lucy has had a contract amendment applied, which also included a change to daily working hours. This is reflective in her Qualifying days with this setting enabled.

          If someone works less than full time but across five days, their qualifying days are still calculated as five.

          💡 You can configure & update Daily Working Hours by going to Post > Contract

          Calculation: Leave Units in Hours

          If the individual's leave units are in hours, the SSP allowance will also be calculated in hours.

          The calculation is...

          Contracted Hours x 28 weeks

          📝 Contracted hours are recorded in the individual's Post > Contract > Contracted hours

          Calculation: Leave Units in Hours (Use Qualifying Days instead of Hours)

          For individual's who have their leave units set to hours, if you require that their allowance is in days, you can apply this setting to adjust the calculation and either manually adjust qualifying days or use daily working hours.

          To do this...

          1. Go to Posts > select their post > Statutory Sick Pay
             
          2. Select Use qualifying days instead of contracted hours to calculate SSP allowance
          3. You will then be able to apply qualifying days or use daily working hours
             

           

          Calculation: Leave Units in Hours with zero contracted hours

          For members of staff who have zero contracted hours, and their leave units are set to hours, the SSP allowance is calculated based on...

          Qualifying Days x 28 Weeks

          Default Qualifying Days in Post Manager

          To ensure that the correct approach to qualifying days is applied as standard, you can configure Post Manager with the relevant settings for your organisation.

          1. Go to Personnel > Post Manager
          2. Find and edit a post
             
          3. Scroll down to the Information section and look for Qualifying Days
             


            Here you have the option to set a number of qualifying days; use daily working hours and use 2 pay periods for average weekly earnings calculations.

          💡 Changes made to posts in post manager will only apply to posts added to staff after you have made the change. Staff already with this post assigned will not have their Qualifying Days changed.

           

          No sickness for 56 days

          If a member of staff has no sickness recorded for 56 days, their SSP allowance will reset.

          Changes to how allowances reset will happen automatically and always take into account...

          • Changes to contracted hours
          • Changes to daily working hours
          • New posts where the allowance has been transferred via the post end wizard
          • Changes to qualifying days
