Budgeting - Setup

Budgets can be setup against each Rota Group in RotaMaster to allow cost tracking on a monthly and annual basis, with prompts if budgets are being exceeded. 

Please note, if Budgeting is not switched on, please contact RotaMaster support and they will enable it for you. 

Budget amounts are recorded per rota group. To set a budget go to Rota Settings > Rota Groups and edit a rota group; 

On the Edit Rota Group pop up box go to the Budgeting tab.

First you need to select whether the budget is tracked against the financial year (Apr-Mar) or the calendar year (Jan-Dec) using the radio buttons at the top of the dialog.

 

Below you can record the monthly budget for Last Year, Current Year and Next Year on the respective tabs.

If you have budgets set for financial year, then the months are for the last financial year not calendar year.

For example, if you had it set to financial year then when you look at the budgeting tab in April 2018 March 2018 would be in last year, as would April 2017. 

Values will automatically roll over from Next Year to Current Year and from Current Year to Last Year at the beginning of the new financial year. 

You can enter the budget individually for each month of the year, or you can update all values to the same value by entering it in the bottom value box and then pressing ‘Update All Values’.

To track budgets, go to Rota > View Rota and click on > Budget Tracker.
