Once a shift has been worked it can be opened for a staff member verify or dispute the shift times depending on how long they have worked. Admins can set up an email address to receive verification notifications in Rota Group Settings.
Shifts can be set to automatically opened for verification by going to Configuration>Default Settings:
Go to Options>Shifts and select "Allow automatic opening for verification of shifts"(you may need to scroll down the list):
This will mean as soon as the shift end time has passed it will automatically show on the Verification section of the staff web portal.
If you don't want all shifts to open for verification they can be manually opened from the View Rota screen. Use the filters to show the shifts you want to open and click Verifications>Open for Verification:
This will open the following box:
Select either 'Open selected' or 'Open all in view' and press Open. All selected shifts whose end time had passed will be opened for verification and a clock symbol will show in the Verified column:
Staff members will now be able to log onto their web portal and verify or dispute their shifts. For help with how to do this click here.
If a shift has been queried the staff member can enter the times they actually worked and a comment explaining the change in the shift length:
Queried shifts will show on View Rota with the query symbol where the clock was:
To view the query details open the shift by double clicking on it and going to the Query Details tab:
Here you will be able to view the query details, if you are happy to make the changes to the shift go to the 'Main Details' tab and change the timings of the shift:
Press 'Save' and you will be asked if you want to verify the shift:
Clicking Yes will set the shift to admin verified
Staff verified shifts will show on View Rota with a green tick:
Admin verified shifts will show with a blue box with white tick in it:
