Automatic opening for shift verifications

Once a shift has been worked it can be opened for a staff member verify or dispute the shift times depending on how long they have worked. Admins can set up an email address to receive verification notifications in Rota Group Settings.

Shifts can be set to automatically opened for verification by going to Configuration>Default Settings:

Go to Options>Shifts and select "Allow automatic opening for verification of shifts"(you may need to scroll down the list):

When this setting is enabled, one hour after the end time of the shift or adjustment, staff will be able to verify or dispute via the Staff Hub or Mobile App.

Manually opening shifts for verification

If you do not want all shifts to open for verification, you can manually open shifts for verifications rather than using the 'Allow automatic opening for verification of shifts' setting.

To manually open shifts for verification navigate to the 'View Rota' screen.

Use the filters on the left-hand side to display the shifts you want to open for verification.

 Select all the shifts you would like to open for verification by clicking CTRL+A to 'select all' within you selected filters, or, CTRL and click on multiple individual shifts that you want to open for verification. Next, click Verifications>Open for Verification.

This will open the following dialogue box:

Select either 'Open selected' or 'Open all in view'.

'Open all in view' will open all the shift currently listed in the 'Rota View' for verification. Open selected' will only open the shifts you have selected for verification. 

Select your preferred setting and press 'Open'.

All selected shifts whose end time has passed will be opened for verification and a 'clock symbol' will show in the 'Verified' column.

Staff members will now be able to log into Staff Hub or the RotaMaster App to verify or dispute their shifts. For help with how to do this click here.

💡Using the Screenshot 2025-11-11 162727 'Export Rota' function in 'View Rota' allows you to export the shift information to a CSV file which includes an 'Opened for verification' column, which has the date and time the shifts were opened for verification.

Managing verification queries

If a shift has been queried, the staff member can enter the times they actually worked and a comment explaining the change in the shift length.

Queried shifts will show on 'View Rota' with a 'red circle with white X' symbol in the 'Verified' column.

To view the query details, open the shift by double clicking on it and navigate to the 'Query Details' tab.

Within the 'Query Details' tab you will be able to view the amended shifts times submitted by the staff member along with any comments.

If you are happy to make the changes to the shift, go to the 'Main Details' tab and change the timings of the shift:

Press 'Save'.

You will be prompted with a warning message noting the revalued shift due to the increase in duration. Selecting 'yes' will increase the value of the shift, selecting 'No' will keep the shift value the same as the  original value before you made the duration changes.

Next, you will be asked if you want to verify the shift.

Clicking 'Yes' will set the shift to admin verified.

ℹ️ If you have TOIL settings enabled, when editing the duration of a shift during the verification process, you will be asked if you wish to record the extra time as a TOIL session.

If you click yes, an extra shift will be created as TOIL, and you will need to double click into the shift, and then click save to admin verify the TOIL shift.

Staff verified shifts will show on 'View Rota' with a green tick in the 'Verified' column:
