Building Pay Rate Patterns

In RotaMaster, staff can be paid for shift work in two different ways;

  • Pay Rate Groups can be assigned directly to shifts. Staff that work those shifts are paid the value of the shift defined by the Pay Rate Group. To find out more about Pay Rate Groups, click here.
  • Pay Rate Patterns can be assigned directly to staff members. Staff members can have their own pay rates, meaning that when they're allocated a shift the system will update the value of that shift based on their pay rates.

NB - The system will ALWAYS use the person's pay rates over the default shift pay rate.

This is done using Pay Rate Patterns.

A Pay Rate Pattern is a collection of Pay Rate Groups and can be assigned to a person(s). Pay Rate Patterns contain different Pay Rate Groups for;

  • Monday, Tuesday, Wednesday, Thursday, Friday
  • Saturday, Sunday
  • Bank Holidays
  • Overtime 

The Pay Rate Groups still need to be added to RotaMaster before they can be used in a Pay Rate Pattern - see Adding a Pay Rate Group. 

Creating Pay Rate Patterns

Pay Rate Patterns are added/amended under Finance+ > Pay Rate Patterns;

To add a Pattern, click the green plus button on the left hand side;

This will open the following;

Enter;

  • Pattern Name - a name for this Pay Rate Pattern. It should be something that clearly states who this pattern will be assigned to. It can be generic (e.g Locum GP Rates) if it will be assigned to multiple people, or as specific as a person's name if it will only be assigned to one person.
  • Default Pay Rate Group - the Pay Rate Group that will be used most often for this person (e.g. Doctor Standard Weekday, because this will be used for each day of the week).

Click Save.

This will add the Pay Rate Pattern to the list on the left hand side. Click on the Pay Rate Pattern name;

This shows the Pay Rate Group that will be used each day of the week for anyone with this Pay Rate Pattern assigned to them.

Double click on the day of the week (Saturday, for example) to change the Pay Rate Group for that day, and select the appropriate Pay Rate Group;

Click Save.

All staff with this Pay Rate Pattern will now be paid the Hourly Rates from 'Doctor Standard Weekday' for every day, other than Saturday, when they will be paid rates from 'Doctor Weekend'.

Setting Rates for Special Days

Pay Rate Patterns an also be used to tell the system which Pay Rate Group should be used on Special Days. To configure this click on the pattern name and double click on Special Day:

Then use the Edit Day window to select the Pay Rate Group for your Special Days

Please note, this will assign that Pay Rate to all Special Days staff members with this Pay Rate Pattern work. To configure different rates for individual Special Days i.e. Christmas rates please follow the steps below. 

Setting Rates for  Bank Holidays

 To configure this, click on the Pattern name and then click the green plus button on the right hand side;

This will open the following window;

Select the 'Special Day' from the dropdown and then select the Pay Rate Group that should be paid to staff with this pattern on that Special Day (usually used for Bank Holidays.

Click Save and repeat for further Special Days.

Configuring Overtime Rates

To configure which Pay Rates should be used for Overtime claims for any staff with this Pay Rate Pattern, click on the Overtime tab. The rates added to this section will be available for RotaMaster administrators to select when approving an Overtime request for this person.

To add a new Pay Rate to the Overtime section for a Pay Rate Pattern, click the green plus button and select a Pay Rate Group;

Click Save. This rate will now be selectable as an overtime rate when approving/adding Overtime for any staff member with this Pay Rate Pattern.

Editing Pay Rate Patterns

Pay Rate Patterns can be edited at any time from this screen by clicking on the pattern name, double clicking on a day of the week and changing the Pay Rate Group that should be used on that day.
