Creating Contracts in Post Manager

Once a post has been created in Post Manager, a contract can be created for that post. The contract outlines; 

- Contracted Hours

- Role that anyone with this post can work on the rota

- Daily Working Hours (if required)

 To add a Contract to a Post in Post Manager, go to Personnel > Post Manager and find the Post to add a contract to. Double click on the appropriate post; 

This will open the screen shown below. Click on Contracts and then click the green plus button; 

This will open the following screen; 

- Contract Name - Recognisable name for the contract - can be the same as Post Name

Valid From - will default to Post Valid From date but can be changed to any date after that

Valid To - date that the contract will end (if applicable)

- Contract Hours - weekly contracted hours for any staff with this post (can be changed on a person by person basis when assigned to staff)

- Primary Role - the role that staff with this post will fulfill on the rota

 

The following sections are not mandatory;

Contract Notes - free text field to add any notes to this contract

Secondary Roles - can be viewed from this tab if a Role Group is selected. 

Daily Working Hours - this displays the screen below, where standard daily working hours can be outlined.

This does not affect the shifts that staff can be entered into but is used; 

- When planning future Annual Leave, and staff are not in shifts for that period the system will reference the Daily Working Hours in their contract to work out how many hours leave should be used for that instance. If staff ARE in shifts for that period, their shift duration will be used instead. 

- The system will always add up the hours in Daily Working Hours and check them against the Contract Hours. If they do not match up, this following will be shown whenever you Save a contract; 

This does not affect anything, and is purely a notification. 

Click Save when all the required details have been entered. The system will now prompt you to add a Finance Record to the Contract.

Remember - If staff with this Post/Contract will be rostered on RotaMaster, they need to have an active Post, Contract and Finance Record.
