Viewing an Individual's Annual Leave Allowances (People +)

Once Annual Leave Configurations have been built in RotaMaster (see here) and assigned to Posts in Post Manager (see here) administrators can view an individual's leave allowances in their Personnel Record.

Navigate to Personnel > Personnel Manager, search for an individual using the filters on the left-hand side and click 'Search'.

Open a 'Personnel Record' and navigate to 'Posts',  Open a 'Post' and click on 'Leave Allowances':

The example above shows that this staff member has;

  • 33 days Total Allowance (Total Allowance includes, 25 days Annual Allowance and 8 Bank Holiday Days)
  • Taken 0 days leave in this period
  • 33 Days Remaining
  • 8 Bank Holiday days are included to the allowance - as the Annual Leave Configuration assigned to this staff member is set as 'Bank Holidays Included' - see here.
  • 0 Additional Days for long service (tiered)
  • 0 Days Bought , Carried Over, Manually added or Sold

This allowance can be increased by manually adding either 'Bought' or 'Carried Over' leave, and you can also decrease an allowance by deducting 'Sold Leave'. There is also a 'Manually Amended Allowance' option which can be used to increase or decrease allowances. To decrease you need to add a minus before the number you enter. 

To do this, click the 'Add or remove Allowance' button;

Enter the appropriate number of days in one/all fields, you can add a comment for audit purposes if you wish, and click Save.

The allowance will be updated;

In this example, we bought 1 day, carried 7, sold 1, -1 Manually amended. Therefore, the 'Remaining' has increased from 33 days to 39 which is the correct increase of 6 days, then minus 1 day sold allowance, and -1 for manually amended (i.e total overall increase of 6 days).

Sold leave is deducted from the remaining allowance for the specified year.

Carried leave is deducted from the previous leave year:

ℹ️ If you need to amend an allowance more than once, please ensure you add the current values to the exisisting values on the 'Add  or Remove Allowance' screen to ensure the total value is record. For example, if a staff member had only sold 1 day, and then sold a further two, you would enter 3 in the sold column when adjusting the allowance for the second time.
