Adding and Viewing Mandatory Training Requirements details in Personnel Records

When a Mandatory Training Requirement is added to a person (either because they are a new starter or because a 'Person' requirement has been directly added) it will show in their Personnel Record under;

Employment > Training > Mandatory Training;

This screen will show all requirements for this person and the table outlines the;

  • Mandatory Training Requirement (Name of the Requirement as set up in Personnel > Reference Settings)
  • Post Name (will show the Post name that this requirement is for, if applicable)
  • Repeated (the repeat period for this requirement - set against each requirement in Personnel > Reference Settings)
  • Course Completed
  • Next Date (the next time this requirement is due for completion based on the last time this person completed the relevant training course)
  • Status (Due or Overdue)
  • Type (Person, Post or Company)

All Requirements set against this person's post, or set as 'Company' will already show in this screen with no need to manually add them.

Adding a Requirement To a Person's Record

To add a new Person requirement to the record, click the green plus button and select the appropriate requirement from the drop down;

This will only display requirements that are marked as 'Person' 

 

Click Save.

You will then be asked if you would like to add a Training Course to the Training Requirement:

If you don't want to add a course click 'No' and the course can be added at a later date by yourself (for help with this please click here), or by the member of staff (for help with this, click here). 

If you want to add a course click 'Yes' and the following box will show:

Select the Training Requirement you wish to add the course to and fill in any necessary details, then press 'Save'. You will then be asked if you want to record an absence for this training course:

Pressing 'Yes' will bring up the "Add Adjustment" box:

Fill in the details and press 'Save'. The staff member will be removed from any conflicting shifts and the Adjustment and Training Course will be added to their Personnel Record. 

Where does the Next Date come from if this person has never completed the requirement before?

If a person has requirements in their Mandatory Training record that they have never completed, the Next Date will show as either;

  • The 'Commence' date against their Primary Post. To see this, go to their Personnel Record > Posts > open their Primary Post (defined by a yellow star) and see the Commence date;

  • If this person has a Probation Period on their Primary post, the end of the Probation Period assigned to their Primary Post will be the Next Date on their uncompleted Mandatory Training Requirements. To see this, go to their Personnel Record > Posts > open their Primary Post (defined by a yellow star) and view the Probation Period/Duration;
