Compliance

The compliance section of your staff personnel records, provides the space to record & report on key metrics for your staff collectively & individually.

Simply navigate to Personnel > Personnel Manager > open the staff members Personnel Record > Employment > Compliance.

Professional Registration

In this section you can record someone's professional body, reference number & related information.

Adding a new professional registration record

1. Click the green + button to add a new professional registration

2. Select your professional body from the drop-down menu & enter your unique number.

3. How to check the registration of an individual...

For both the General Medical Council (GMC) & General Pharmaceutical Council (GPC) you can click the check button to the right of the number field to examine the detail that is recorded for that person with the relevant professional body's database.

✅ Once you have clicked the check update buttons, RotaMaster will check & update the information everyday.

❕ This only works for the GMCGPC, other professional bodies will need to be checked & updated manually.

 
4. Enter the annual fee for the individuals registration.

5. You are then able to enter the renewal date for the professional registration & record that the date has been validated.

6. The last notes section is a free text box to add any additional & useful information.

Editing a Professional Registration record

Once you have added a professional registration to your member of staff, you can edit this at any time by first clicking the record you want to edit and then selecting the blue pen icon.

Deleting a Professional Registration record

If you wish to remove a professional registration record, you can select the record and click the red X icon.

Before being deleted you will be asked to confirm your decision...

Indemnity

This section provides the space to record a healthcare professionals indemnity cover. 

Adding a new indemnity cover

1. Click the green + button to record someone's indemnity cover.

2. Select the company, aka. provider of the indemnity

3. Enter the number that references specific indemnity documentation from your organisation.

4. Enter the number of shifts per week that this indemnity specifically is covering.

5. Add in the renewal date for the indemnity cover and record that the date has been validated.

6. Select your Membership Type, whether this is occurrence; claims or contractual/discretionary based.

7. Select who the payment of your indemnity is delivered by.

8. Record the annual fee for your indemnity cover.

9. The indemnity restrictions section is a free text box to add any additional & useful information.

Editing Indemnity Cover

Once you have added indemnity cover to your member of staff, you can edit this at any time by first clicking the record you want to edit and then selecting the blue pen icon.

Deleting indemnity cover

If you wish to remove indemnity cover, you can select the record and click the red X icon.

Before being deleted you will be asked to confirm your decision...

Disclosure & Barring Service (DBS)

This section provides space to record the result of someone's DBS check.

Adding a new DBS check

1. Click the green + button to record a new DBS check.

2. Select the type of DBS from the drop-down menu. These are configured in Personnel>Reference Settings

3. From the DBS certificate, enter the certificate number.

4. From the DBS certificate, enter the date of issue.

5. From the DBS certificate, enter the name of employer.

6. Depending on your policy, enter the renewal date and record that the date has been validated.

7. The comments section is a free text box to add any additional & useful information.

Editing a DBS Check

Once you have added a DBS check to your member of staff, you can edit this at any time by first clicking the record you want to edit and then selecting the blue pen icon.

Deleting a DBS check

If you wish to remove a DBS check, you can select the record and click the red X icon.

Before being deleted you will be asked to confirm your decision...

Performers List

This section provides space to record someone's performs number.

Adding & editing a new performers number

1. Click the blue edit pen to amend the individual's performers number.

2. Tick the performer's list box and enter the individual's performers number.

3. Enter the date that the performers number was verified.

4. Where relevant, enter the expiry date of the performers number.

Dashboards, Reports & Notifications

There are several ways to review & keep informed about the compliance information logged in your staff's personnel records, including an automated dashboard; instantly generated reports & configurable notifications
