Setting up RotaMaster

RotaMaster is designed to be completely configurable, so that each organisation can build the system to reflect their own services. As part of the implementation process, RotaMaster provides full consultancy and process mapping services to ensure that each organisation uses each area of the system appropriately and efficiently.

This article outlines the different areas of the RotaMaster system configuration and the order in which the system should be configured.

Stage One - Rota Groups;

Rota Groups should be configured first. They are the top level of the RotaMaster system hierarchy. Rota Groups represent separately managed services in an organisation - such as OOH Services, Urgent Care, etc. Click here for more information.

Stage Two - Teams;

Team should be configured. All staff sit in a Team and they will usually represent either job role (Doctors, Nurses, etc) or contract type (Locum Doctors, Contracted Doctors). However, they can be set up to represent whatever each organisation requires in terms of staff types. Click here for more information.

Stage Three - All Other Rota Settings;

Rota Settings are different settings that are required to configure shifts. These are setup under Rota > Rota Settings and are shown below. Click on each setting to learn more.

Stage Four - Pay Rates/Finance

In order to create shifts in RotaMaster, at least one Pay Rate must be configured in the system. Pay Rates are assigned to shifts and used to work out the value of each shift. These can be configured as Zero-Rated if some shifts will be unpaid/RotaMaster will not handle the finance for some areas of the organisation. For more information, see here.

Stage Five - Adding Personnel

Every staff member that is to be rostered on RotaMaster must have a Personnel Record.

Stage Six- Shift Patterns

Shift Patterns are rota templates that are configured in RotaMaster. The Shift Pattern configuration pulls together the details described above and is the first stage in rota creation process in RotaMaster.

Stage Seven - Creating Calendars and Managing the Live Rota

Once all of the above has been completed, RotaMaster is ready to produce live rotas. First of all, a calendar must be created - see here for more information.

From there, the rota can be managed from the View Rota/Rota Manager screen. Please see this section for information on all manner of rota management functions in the system.
